The Receptionist/Administrative Coordinator is responsible for providing exceptional customer service and administrative support to visitors, staff, and stakeholders. This includes answering phones, greeting visitors, maintaining visitor logs, issuing identification badges, and providing administrative support to various corporate departments within our corporate headquarters.

Essential Job Functions:

  • Greets and welcomes visitors to corporate headquarters.
  • Answers incoming calls, emails, and inquiries and directs those to the appropriate departments or individuals promptly.
  • Performs various administrative tasks to support headquarters operations, including, but not limited to, data entry, filing, scanning documents, maintaining call lists, and assisting with various review processes.
  • Issues and maintains all identification badges, maintains visitor logs, and follows visitor access security and safety protocols at corporate headquarters.
  • Supports the creation and approval of requisitions, generating and dispatching purchase orders, and requesting payment.

Qualifications:

  • High school diploma or GED is preferred.
  • Minimum 2 years of proven high volume customer service or administration preferred.

Other Skills and Abilities Required:

  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
  • Strong organizational and multitasking abilities, with the capacity to prioritize tasks and manage time effectively.
  • Proficiency in using office equipment, including multi-line telephone systems, computers, and basic office software applications.
  • Ability to maintain composure and professionalism in high-pressure situations and adapt to changing priorities.
  • Commitment to upholding confidentiality, integrity, and professionalism in all interactions and tasks.
  • Ability to follow security protocols and procedures, including emergency response protocols, to ensure the safety of staff, visitors, and assets.
