Primary Purpose:
Coordinates and manages the budgetary needs and routine work activities of an administrative department office. Provides administrative support to the Assistant Superintendents of Elementary and Secondary Education and Director, Elementary Education.
Education / Certification:
- High School Diploma or GED is required.
- Bachelor’s Degree is preferred.
Special Knowledge / Skills:
- Effective communication and interpersonal skills.
- Ability to use district-provided computers and software to develop spreadsheets. Proficient skills in typing, word processing, and file maintenance.
- Basic math skills.
- Strong organizational skills and the ability to plan ahead with little direction.
- Demonstrated positive customer service skills.
- Demonstrated written and oral communication.
- Demonstrated ability to work independently and as a team.
- Ability to keep confidential information.
Experience / Other Requirements:
- Three years of secretarial/administrative assistant experience with extensive contact with the public is required.
- Five years of secretarial/administrative assistant experience with extensive contact with the public is preferred.
- Experience in a public education environment is preferred.
- Personal cell phone is required to handle district related business, including after hours, or when away from the office on district business.
Major Responsibilities and Duties:
- Maintains appropriate interpersonal interactions with peers, employees, and patrons and is sensitive to their needs.
- Maintains high degree of discretion when dealing with confidential information.
- Assists with various department operations as requested and as responsibilities permit to include but not limited to: principal evaluation process, organizational health evaluation process, budgeting process and campus checkpoint process.
- Assists with the organization of and attends monthly principal meetings and professional development events as needed..
- Prepares correspondence, forms, reports as needed for the Assistant Superintendent, Elementary Education, Assistant Superintendent, Secondary Education and the Director, Elementary Education.
- Maintains monthly reports as requested.
- Compiles pertinent data as needed for elementary and secondary education.
- Manages department budgets and performs routine bookkeeping tasks, for the Assistant Superintendents for Elementary and Secondary Education and other department members.
- Maintains organization of office supplies and promotional items and assists with the preparation of purchase orders and payment authorizations.
- Answers incoming calls, takes reliable messages, and routes to appropriate staff.
- Assists with incoming parent emails and routes to appropriate staff for follow-up.
- Maintains a schedule of appointments and makes travel arrangements for all department members and other district officials as requested.
- Organizes and supports School Improvement event planning, including Leadership Launch, graduations, etc.
- Responsible for properly maintaining district records, adhering to all policies set forth by the district for records maintenance and learning the records retention schedule for department records.
- Performs other duties as assigned.
